Adding a Certification

To lay a base of using certifications in re:Members AMS, a first step is creating a Certification Record.

Note: Once the certification and/or application record is created, staff will need to open said record(s) and set up any additional required information, such as prices, requirements, and other details.

Creating a Certification Record

  1. Navigate to Certifications App > Certifications.
  2. Click Add New Certification. The Add New Certification form will appear. Fields with a red asterisk are required.
    1. Create a Code and Name.
    2. Available From and UntilClosedSet the Available From date--this is the date on which the product will become available to customers. An Available Until date can also be set, if the certification should not be available after a certain date.
    3. Is PublicClosedEnabling this makes the certification accessible to public (non-staff) users. If you are still in the process of testing the certification or if you plan to have staff do all purchasing and management of certifications on behalf of customers, leave this unchecked.
    4. Is FreeClosedIf the certification should be zero cost, enable this option, which automatically creates a zero-dollar price. Prices created by clicking "Is Free" should still have GL accounts specified on the Price Record. Prices created this way can be edited later if necessary.
    5. MerchantClosedIf multiple credit card merchants are used in your instance of re:Members AMS and it's necessary to select a non-default merchant for this product type, staff can select a specific merchant in the Merchant drop-down. This field can be left blank if no special merchant is required for this product.
    6. Sort OrderClosedIf desired, a Sort Order can be set. Applications with the lowest sort number (i.e., "1") will appear at the top of the store list.
    7. Base Due DateClosedStaff can set a Base Due Date for the application if the baseline setting of base due date = order date is not appropriate for the product.
    8. Certification term type:
      • Is LifetimeClosed The certification is for life and once earned, never expires.
      • Is Calendar-basedClosedThe term begins on a specific date and lasts for a term specified by staff.
      • Is AnniversaryClosedThe term begins whenever the certification is earned and lasts for a term specified by staff. (This option is automatically enabled if neither the "Is Lifetime" nor the "Is Calendar-based" option is selected.
    9. Number of MonthsClosed The number of months that the certification will be valid. (Not required if "Is Lifetime" is selected, above.)
    10. Start Date:
      • For anniversary terms, options include: Immediately, First of the Month, First of the Closest Month, and First of Next Month.
      • For calendar-based terms, set the month and date on which the certification begins.
    11. Grace Period Before Effective DateClosedIf desired, enter, in days, the length of time before the official start date the certificant should get "certified" status. This is typically used in cases where the certification is calendar-based or the start date is not set as "Immedately."
    12. Grace Period After Expiration DateClosedThe length of time, in days, after expiration during which the certificant will continue to be considered certified.
    13. Auto ApproveClosedEnabling causes the certification to automatically be approved, without the need for staff intervention.
    14. Auto Apply DesignationClosedEnabling this option allows staff to assign a designation to this certification, so that any individual who earns the certification will automatically be assigned the designation as well. The designation will appear on the individual record for as long as the certification is active.
    15. Status InfoClosedChoose the "Approved," "Drop," and "Pending" status. The options in these fields are created under Certifications > Setup > Certification Status.
  3. Click Save to create the Certification Record.

Note: Certifications flagged as "Is Public" configured with no application and no requirements should be set up with prices that require staff approval, otherwise users will be able to purchase the certification outright, without staff approval. See also, Requiring Staff Payment Approval
